WhatsApp Assistant

Leave approvals, expense claims and HR answers on WhatsApp

Every employee’s personal assistant, now in the chat app they already use. Managers approve from the message, employees send a bill to add it to their claim or ask about their leave, and every action is made as the person, only after they confirm.

    • Optional for each company and each person
    • Reply STOP any time
    • Pay, tax and ratings details stay in the app

Why HR and finance teams turn it on

The work doesn’t change. It just stops waiting for people to open another app.

Approvals don’t wait for a laptop

Managers get leave requests and expense claims as WhatsApp messages and approve or reject them there, as themselves. Requests stop sitting in an inbox until someone is back at a desk.

Bills are captured when they’re spent

A photo of the bill at the table becomes a line on the employee’s expense claim. Fewer lost receipts and fewer claims rebuilt at month end.

Fewer “what’s my balance?” questions to HR

Employees ask about their leave, holidays, payslips, tax and policies and get answers from their own records, not from HR’s inbox.

Reaches people who rarely open an HR app

Sales, field and on-site teams get their approvals, updates and answers in the app they already check all day.

    What people do on WhatsApp

The same requests, approvals and answers as in the flowwork app, in a chat.

    Approve leave and expense claims

Requests waiting for you arrive with Approve and Reject buttons. You decide as yourself, with your own permissions: Approve asks once more, Reject asks for the reason.

    Updates on your own requests

Hear when your leave is approved or your claim moves a step, without opening the app.

Send a receipt, get an expense line

Send a photo or PDF of a bill. It’s saved to your draft expense claim, the Receipt reader reads the merchant, date, amount and category, and you tap Add to claim.

    Ask, apply and cancel leave

Ask about your leave balance, holidays, payslips, tax and company policies. Apply for or cancel leave in the chat; nothing is sent until you tap Confirm.

Receipts are read by the Receipt reader and questions are answered by the Employee assistant, when the company has hired them. Leave lives in FlowPeople and claims in FlowExpense.

    How it works

    1. 1

      Your company turns it on

An admin switches WhatsApp on in Privacy & channels, and people get an invite to connect.

    2. 2

      Each person connects

From My profile, they enter their WhatsApp number and the code sent to it. Connecting is their choice.

    3. 3

      Use it like any chat

Tap a button to approve, send a bill, or type a question.

    4. 4

      Stop any time

Reply STOP and WhatsApp messages stop. Reply START to turn them back on.

    You stay in control

Optional for the company and for each person

Nothing reaches WhatsApp unless the company turns it on and the person connects their own number.

    It acts as the person

Every approval, claim line and leave request is made as that person, with exactly the permissions they have in flowwork.

Pay, tax and ratings stay in the app

For payslips, tax and review ratings, WhatsApp only says something is ready. The details open in flowwork after sign-in.

Meta named in our privacy policy

    Frequently asked questions

Can managers approve leave on WhatsApp?

Yes. In flowwork.ai, when a leave request or expense claim is waiting for a manager or approver, the WhatsApp message has Approve and Reject buttons. The decision is made as that person, with their own permissions, after one confirmation; Reject asks for the reason.

Can employees file expense claims from WhatsApp?

Yes. An employee sends a photo or PDF of the bill to the flowwork.ai assistant on WhatsApp. It is saved to their draft claim (or a new one), and if the company has hired the Receipt reader agent it reads the merchant, date, amount and category and asks whether to add the expense line.

What can employees ask the HR assistant on WhatsApp?

Questions about their own leave balance, holidays, payslips, tax and company policies, answered by the Employee assistant from their own records. They can also apply for or cancel leave; the request goes out only after they tap Confirm.

Is WhatsApp required to use flowwork.ai?

No. It is optional for each company and for each person. Everything also works in the flowwork web and mobile apps, and anyone can reply STOP to stop WhatsApp messages at any time.

Are payslips or salaries sent on WhatsApp?

No. For pay, tax and review ratings the WhatsApp message only says that something is ready; the details stay in flowwork behind sign-in.

Does the WhatsApp assistant use AI credits?

Approvals and updates don’t use agents. Reading receipts and answering questions use the Receipt reader and the Employee assistant, which the company hires from the agent catalogue and which use credits as they do in the app.
