Several legal entities, one workspace
Growing groups often run more than one company: a private limited, an LLP, a new subsidiary. In flowwork.ai each one is a legal entity with its own PAN, TAN, CIN and GSTINs, inside the same workspace, with the same people and one sign-in.
- Included in every plan
- Payroll, statutory files and books per entity
- Entity-wise and consolidated reports
- Users limited to the entities they work for
What you get
Every legal entity, set up once
Add each company, LLP or branch of your group with its legal name, constitution, PAN, TAN, CIN or LLPIN, registered address and logo. One entity is the default.
Numbers checked as you type
PAN is checked against the constitution, TAN and CIN or LLPIN against their formats, and each GSTIN against its check digit and the entity's PAN.
Locations belong to an entity
Each work location and office is assigned to its legal entity, so you always know which company a site belongs to. Move a location when that changes.
Users limited to their entities
Give someone access to all entities or only the ones they work for, in Users & Roles, next to their roles.
Entity-wise and consolidated reports
Pick one entity or all of them: lists and reports follow the entity filter, so you see each company on its own or the whole group together.
Payroll per entity
Each entity runs its own payroll and payslips under its own TAN, EPFO and ESIC codes, with its own ECR, ESIC, PT and TDS files.
Books per entity
Each entity keeps its own books in FlowBooks, with its own GSTINs, invoice series, GST ledgers and financial statements.
History and safe archiving
Every change to an entity is kept with who made it. An entity that still has locations, or is the only entity of a user, can't be archived by mistake; archived ones can be restored.
Where entities show up
Settings › Legal entities
Where entities, their GSTINs and their locations are managed, by people with the legal-entities permission.
FlowBooks
Books are kept per legal entity: each entity's legal name, PAN and GSTINs fill its set-up, its invoices carry its registered address, and reports show one entity or all of them.
FlowPeople
Work locations, and the people based there, belong to their legal entity, so employee records, leave and attendance are seen entity by entity.
FlowPay
Each entity has its own TAN, PF and ESI codes, pay runs, payslips and statutory files.
Frequently asked questions
Can one flowwork.ai workspace hold several legal entities?
Yes. Add each legal entity of your group, with its PAN, TAN, CIN or LLPIN and GSTINs, inside the same workspace. People keep one sign-in, and you limit each user to the entities they work for.
Does multi-entity cost extra?
No. Several legal entities are included in every plan at no extra cost.
How many GSTINs can an entity have?
As many as it is registered for. Each GSTIN is checked against the entity's PAN, and FlowBooks gives each one its own invoice series.
Can I run separate payroll for each entity?
Yes. Each entity runs its own payroll with its own TAN, EPFO and ESIC codes, payslips, and ECR, ESIC, PT and TDS files, while HR and admins work in one workspace.
Should unrelated companies share a workspace?
Entities in one workspace are for one group of companies. Unrelated companies, or a CA's clients, are better as separate workspaces; one person can belong to several and switch between them.
