Scaling HR, payroll and expenses: how a growing company in India added employees without growing its ops team
In short
A growing company in India kept hiring, and its HR, payroll and finance team did not have to grow with it. New joiners fill in their own documents and bank details in a candidate portal before day one, approved leave reaches payroll as loss of pay, the Receipt reader and Expense policy checker handle claims, and the Employee assistant answers leave, payslip and policy questions.
What took the extra work
More employees usually means more joining paperwork, more leave requests, more expense claims, more payslip questions, and more people to handle them. Here is what took that work:
- Joining: new joiners submit documents, bank details and policy acceptance in a candidate portal before day one, without an account. The employee record in FlowPeople is created from it.
- Every month: approved leave reaches payroll as loss of pay. The approved run produces the EPF, ESI, PT and bank files.
- Claims: the Receipt reader fills in claims from receipt photos, and the Expense policy checker checks them in FlowExpense.
- Questions: the Employee assistant answers leave, payslip and policy questions from the company's own records and policies.
